Summary: The Customer Service Representative carries out all customer service activities such as responding to inquiries, handling complaints and processing orders in a prompt, courteous and effective manner. Other responsibilities include phone duties, assisting in inventories, greeting visitors and other duties as directed by the Customer Service Manager.


 


Essential Duties and Responsibilities include the following. Other duties may be assigned.


 


·         Customer Service:  Process and input all customer orders, checking all orders for special requests and special instructions.  Coordinate and communicate special or last minute shipping requests with traffic and operations.  Expedite rush orders.  Trace orders and provide proof of deliveries as requested.  Process inbounds in a timely manner, check stock, assist in inventory control, handle returns in an efficient manner and maintain accurate damage records.  Assist in proper invoicing of accounts by verifying computer generated invoices.


 


·         Customer Interfacing Activities:  Maintain a good working relationship with customers by responding to all inquiries and complaints concerning orders, shipments, inventory, invoices, etc. in a courteous and efficient manner.  Report any signs of customer dissatisfaction to the Office Manager. Adjusts complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation. Act as a liaison between operations and the customer regarding invoicing.


 


·         Clerical:  Oversee all paperwork associated with orders and inbounds; maintain a current and accurate procedure book which details the requirements for each account.  Answer phone calls and operate various types of office machines.  Effectively correspond with customers as required. Prepare any reports concerning customer service as required by management.

Education and/or Experience                                                    


 


High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
